Privacy Policy
Effective date: 23 October 2026Operator: Roam ClubPrivacy contact: support@roamapp.club
1. About this Policy
This Policy explains how Roam Club collects, uses, shares, retains, and protects personal information when you use Roam.
It covers account information, private travel records, public experiences, media, location information, and related service data.
2. Information you provide
We process information you choose to provide, including:
a. Account and profile information, such as your name, email address, username, profile image, and biography.
b. Travel information, such as places visited, visit dates, trips, wishlists, notes, tags, recommendations, and experiences.
c. Photos, videos, audio, captions, and related media information.
d. Support requests, complaints, reports, and privacy requests.
e. Records of acceptance, permissions, and privacy choices.
Avoid uploading sensitive personal information that is unnecessary for your travel records or sharing another person’s information without authority.
3. Google sign-in
When you sign in with Google, we receive information authorised through the sign-in process, such as your name, email address, profile image, and Google account identifier.
Basic Google sign-in does not give Roam access to your Gmail messages, Google Photos library, or other unrelated Google-account content.
If additional integrations are introduced, we will explain the requested access and obtain any required permission separately.
4. Technical and location information
We may process IP addresses, browser and device details, authentication records, security events, and service logs needed to operate and protect Roam.
We process locations you search for, select, or pin.
If you separately permit device-location access, it is used for the feature explained when permission is requested. Basic travel logging does not require continuous location tracking.
Uploaded files may contain capture dates, device information, and embedded location data. We use relevant metadata to support organisation and technical processing.
Embedded GPS metadata is removed from publicly delivered and link-shared media. Selected place locations and other details you intentionally publish remain visible.
5. How we use information
We use information to:
a. Create and authenticate accounts.
b. Store, organise, search, and retrieve travel memories.
c. Provide maps, trips, galleries, and wishlists.
d. Publish experiences and media you select.
e. Create and manage sharing links.
f. Calculate public recommendation summaries.
g. Maintain security and prevent fraud or abuse.
h. Investigate reports and enforce the Terms.
i. Respond to support and privacy requests.
j. Comply with applicable legal obligations.
We process personal information with consent or another basis permitted by applicable law.
Acceptance of the Terms does not provide blanket permission for unrelated processing. Optional marketing and non-essential tracking require separate choices where applicable.
6. Private, public, and link-shared content
Private logs, notes, trips, wishlists, maps, and media are not intended for public access unless you change their visibility or explicitly share selected content.
Authorised personnel and service providers may access private information only as necessary to operate, support, secure, or lawfully administer the service.
Public experiences, selected media, public profile details, and any map or wishlist you make public can be viewed by others.
Anyone who obtains a valid sharing link can access its selected content, subject to the link’s settings.
Public information may be indexed, copied, or redistributed by others. Revoking a link or deleting content cannot erase independently retained copies.
7. Information about other people
Upload media and information about others only where you have the necessary authority and permissions.
Where required, obtain permission from identifiable people appearing in content, including appropriate parental or guardian permission for minors.
Your confirmation does not remove the rights of people shown in your content. They may contact support@roamapp.club with concerns or removal requests.
We may process information submitted in a complaint to investigate and resolve it.
8. Service providers
We use service providers for functions such as authentication, hosting, database services, media storage and delivery, maps, security, and communications.
Providers receive information reasonably necessary for their functions and are subject to appropriate contractual and security requirements.
Some providers may process technical request information or account data under their own privacy terms where they act independently.
Contact support@roamapp.club for information about relevant providers and processing locations.
9. Disclosure of information
We may disclose information:
a. To the audience you select.
b. To service providers acting on our behalf.
c. When required by law or valid legal process.
d. To investigate abuse, protect rights, or address security threats.
e. To professional advisers subject to confidentiality obligations.
f. In connection with a merger, acquisition, or business transfer, subject to applicable safeguards and notice requirements.
We do not sell personal information or licence private travel media to third parties for their independent advertising.
We do not use user content to train general-purpose AI models.
External promotional use of user media requires separate permission.
10. Cookies and similar technologies
Essential technologies support authentication, security, and preferences.
Non-essential analytics and advertising technologies are not enabled by default in this initial version.
If optional technologies are introduced, we will explain their purposes and provide consent and withdrawal controls where required.
Rejecting optional technologies will not prevent access to core functionality.
11. Retention and deletion
We retain personal information only for as long as reasonably necessary for the stated purposes or applicable legal obligations.
You may delete available content through Platform controls or request account deletion by emailing support@roamapp.club.
Deletion may involve separate processing for active systems, caches, and restricted backups.
We may retain limited information when necessary for legal preservation, security investigations, complaints, claims, statutory requirements, and records of consent.
Such retention will be limited to the relevant purpose. Restricted backups are not used to republish deleted content in ordinary operations.
We will explain relevant deletion limitations and applicable timelines when handling your request.
12. Your choices and rights
Depending on applicable law, you may request:
a. Information about how your personal information is processed.
b. Access or a summary of relevant information.
c. Correction or updating.
d. Deletion.
e. Withdrawal of consent.
f. Grievance resolution.
g. Other rights available under applicable law, including nomination where applicable.
You can also manage visibility, revoke sharing links, withdraw optional device permissions, and opt out of optional marketing.
Withdrawing consent does not invalidate earlier lawful processing. Some features may no longer work if the information needed to provide them cannot be processed.
Send requests to support@roamapp.club.
We may take proportionate steps to verify your identity and will respond within applicable legal timelines.
Where available under applicable law, you may escalate unresolved concerns to the relevant authority.
13. Security and personal-data incidents
We use reasonable technical and organisational safeguards appropriate to the information processed.
No service can guarantee absolute security.
If a personal-data breach occurs, we will investigate, take appropriate remedial action, and notify affected people and relevant authorities where required by applicable law.
14. International processing
Information may be processed in countries where Roam Club or its service providers operate, subject to applicable transfer restrictions and safeguards.
Contact support@roamapp.club with questions about processing locations.
15. Children
Roam accounts are intended for adults aged 18 or older.
We do not knowingly permit children to create accounts. If you believe a child has provided information through an account, contact support@roamapp.club.
Adults uploading content depicting children must have the authority and permissions required by applicable law.
16. Changes to this Policy
We may update this Policy and will publish a revised effective date.
We will provide appropriate notice of material changes. New uses requiring consent will be presented separately before those uses begin.
